Getting the Most out of Dutchie POS: Post-Launch Checklist

It's not totally uncommon for new dispensary owners to mistake POS systems for a simple business tool that allows you to drive sales. Unfortunately, not understanding the capabilities of a cannabis POS system like Dutchie POS can limit how operationally efficient your dispensary can become. When your POS is functioning at its full potential, it has the power to transform your retail operation drastically.

There are certain steps all managers should take when optimizing Dutchie POS post-implementation, so let’s take a look at four ways to do just that.

Dutchie POS post-launch checklist

After going live with Dutchie POS, Support will become your go-to resource. Dutchie Support is available 7 days a week from 5am to 10pm PST.

‍

Once the implementation process has wrapped up, you'll receive an email with the Dutchie Support contact information. At this point, any Implementation Strategists you’ve been working with will no longer be your point of contact.

‍

We recommend taking the following actions once live with Dutchie POS:

1. Configure your Backoffice homepage

Dutchie POS provides a unique homepage experience in the Backoffice. Each user can configure their own homepage to show what’s most relevant to them.

Click the Configure button to customize the following sections:

  • Quick Actions
  • Key Metrics
  • Charts
  • Lists

Quick Actions

The Quick Actions section allows you to select up to 4 of your most commonly performed actions. These selections will show as Quick Actions on the homepage that you can select and easily navigate to that section of the Backoffice.

Key Metrics

Key metrics show up as dashboards that show real-time data on your homepage. You can select up to 9 key metrics to display on your homepage including:

  • Transactions
  • Total income
  • Gross sales
  • Net sales
  • Customers
  • Pending transfers
  • Average cart
  • Products sold
  • Total tips

Charts

Charts give you a snapshot view of different trends at your dispensary. You can select two of the following charts to display on your homepage:Β 

‍

  • Products sold by hour
  • Sales by payment type
  • Total sales by hour
  • Total sales this month

Lists

The Lists view allows you to select up to two lists to show on the Backoffice homepage. Click the ENABLED toggles to display two of the following:

‍

  • Registers: View a list of registers, including their current balance and last closeout.
  • Budtenders: View a list of budtenders and their key metrics for the current day.
  • Products sold today: View a list of products sold today, list is sorted by quantity.
  • Discounts today: View a list of discounts and their key metrics for the day.

2. Set up a loyalty program

Set up a loyalty program to encourage repeat customers and increase average ticket sizes by awarding points for each dollar spent. Customers can then redeem points for discounts on future purchases.

Things to consider:

  • Customers begin accruing loyalty points as soon as you enter and save an accrual rate, so be sure you’re ready to launch your loyalty program before taking these steps.
  • Adding or editing loyalty adjustment reasons requires the Edit Adjust Loyalty Reasons permission.

3. Configure and enable delivery settings

Delivery is an optional feature, and all delivery settings and configurations are location-specific.

You can enable Dutchie POS's delivery features for both consumer delivery and wholesale operations in the Backoffice under Settings > Location:

‍

  • If your location offers cannabis delivery to consumers, you’ll check the box for Enable Delivery in the Delivery section.
  • If your location does not offer consumer delivery but you need to configure vehicles and drivers for wholesale operations, check the box for Enable Cars and Drivers for Wholesale in the Inventory section.

‍

If you use a tablet device as the point of sale for deliveries, you can also enable Require Signature in POS for Delivery or Require DL [driver's license or state ID] Image in POS for Delivery.

4. Use the Business Intelligence (BI) tool to elevate decision-making

Business Intelligence tools empower organizations to drive operational decisions, in real-time, based on data collected and stored in Dutchie POS. When your business needs to make critical decisions, Business Intelligence tools or BI is a great place to start. Users can review dashboards, create custom report views, and schedule distribution via email.

Things to consider:

  • BI Reports do not include inventory records where the current inventory is 0.
  • You can configure BI Dashboards settings to Auto Refresh at different time intervals. To configure refresh settings, select Edit on any dashboard, then select Settings at the top of the page.
  • The past 1-day filter is defined as starting at midnight of today's date.
  • Dutchie recommends using Google Chrome to access BI Reports. Incognito mode is not supported.

Find BI tools under Dutchie Backoffice Reports > BI tools.
